Advertising & Marketing

Template category

Paid ads, SEO tools, sponsorships, branded swag, and direct-mail campaigns that promote your business.

IRS note: Generally deductible if ordinary and necessary; capitalize certain long-lived assets per IRS rules.

Business Meals (50% deductible)

Template category

Food and beverages with a client or vendor while conducting business, or traveling overnight for work when eligible meals apply.

IRS note: Many business meals are limited to 50% deduction for federal income tax when requirements are met; entertainment is usually nondeductible. Confirm current law and your situation with a tax professional.

Equipment & Hardware

Template category

Computers, monitors, printers, tools, and furniture used in your business.

IRS note: Large purchases may need to be capitalized or depreciated rather than expensed immediately—follow IRS rules and de minimis safe harbor where applicable.

Home Office

Template category

Exclusive and regular use of part of your home as your principal place of business or where you meet clients—with a simplified or actual-expense method.

IRS note: Deductions depend on qualification tests and allocation; the simplified method caps the deductible square footage rate per IRS limits.

Insurance

Template category

Business liability, professional errors-and-omissions, cyber, and commercial policies tied to the business (not personal health premiums for sole props on Schedule C in the same way).

IRS note: Personal health insurance for self-employed individuals may be deductible elsewhere on Form 1040—separate from Schedule C.

Legal & Professional Fees

Template category

Attorney, accountant, bookkeeper, and enrolled agent fees for ordinary business matters.

IRS note: Fees must be ordinary, necessary, and business-related; capitalize costs to acquire or sell a business asset where required.

Mileage & Travel

Template category

Business trips, airfare, lodging, rental cars, parking, tolls, and business mileage (or actual vehicle costs if elected).

IRS note: Commuting is generally not deductible; use a contemporaneous mileage log for vehicle deductions; meals on travel may be subject to the 50% limit.

Office Supplies

Template category

Paper, pens, postage, shipping materials, and other consumables used up within the year.

IRS note: Usually deducted in the year purchased if they are not inventory or equipment subject to capitalization.

Phone & Internet

Template category

Business-use share of mobile, landline, and broadband when used for your trade.

IRS note: Allocate personal vs. business use with a reasonable method and keep documentation.

Software & Subscriptions

Template category

SaaS tools, app subscriptions, hosting, and licensed software for operations.

IRS note: Prepaid multi-year licenses may need to be spread over benefit periods per IRS rules.

Taxes & Licenses

Template category

Business licenses, state franchise taxes, payroll taxes you pay as an employer, and certain business-only taxes.

IRS note: Federal income tax is not a business deduction; sales tax collected from customers is not your expense.

Training & Education

Template category

Courses, books, and certifications that maintain or improve skills required in your current business.

IRS note: Education to qualify for a new trade or business is generally not deductible—distinctions matter.

Utilities

Template category

Power, water, gas, and garbage for a separate business location; or the business share for a qualifying home office.

IRS note: Mixed personal/business use requires allocation.

Other

Template category

Any ordinary and necessary expense that does not fit the categories above but belongs on Schedule C.

IRS note: Describe clearly in your records so your preparer can map amounts to the correct tax lines.

Manual template vs ReceiptRecon

Spreadsheets work until they don't. Here's how automation compares.

Manual template
  • Type every expense by hand after the fact.
  • Easy to lose or forget receipts when you are busy.
  • Year-end scramble to categorize and reconcile.
ReceiptRecon
  • Scan receipts; line items and vendors extracted automatically.
  • Auto-categorized for taxes with consistent labels.
  • Always organized—ready when your accountant asks.
