How to use the template
- Download the Excel or CSV file — Use the download buttons on this page to save the .xlsx or .csv file to your computer.
- Add your expenses as they happen — Enter each expense on the Data sheet (Excel) or in the CSV rows—weekly updates are best.
- Keep digital or physical receipts for every entry — Store proof of amount, date, and business purpose alongside your spreadsheet.
- Use the Summary tab at tax time — In Excel, open the Summary sheet to review totals by category and overall spending for the period.
- Share with your accountant or import into tax software — Provide the file or exported totals to your preparer or import according to your software's steps.

Advertising & Marketing
Template categoryPaid ads, SEO tools, sponsorships, branded swag, and direct-mail campaigns that promote your business.
IRS note: Generally deductible if ordinary and necessary; capitalize certain long-lived assets per IRS rules.
Business Meals (50% deductible)
Template categoryFood and beverages with a client or vendor while conducting business, or traveling overnight for work when eligible meals apply.
IRS note: Many business meals are limited to 50% deduction for federal income tax when requirements are met; entertainment is usually nondeductible. Confirm current law and your situation with a tax professional.
Equipment & Hardware
Template categoryComputers, monitors, printers, tools, and furniture used in your business.
IRS note: Large purchases may need to be capitalized or depreciated rather than expensed immediately—follow IRS rules and de minimis safe harbor where applicable.
Home Office
Template categoryExclusive and regular use of part of your home as your principal place of business or where you meet clients—with a simplified or actual-expense method.
IRS note: Deductions depend on qualification tests and allocation; the simplified method caps the deductible square footage rate per IRS limits.
Insurance
Template categoryBusiness liability, professional errors-and-omissions, cyber, and commercial policies tied to the business (not personal health premiums for sole props on Schedule C in the same way).
IRS note: Personal health insurance for self-employed individuals may be deductible elsewhere on Form 1040—separate from Schedule C.

Template categoryAttorney, accountant, bookkeeper, and enrolled agent fees for ordinary business matters.
IRS note: Fees must be ordinary, necessary, and business-related; capitalize costs to acquire or sell a business asset where required.
Mileage & Travel

IRS note: Commuting is generally not deductible; use a contemporaneous mileage log for vehicle deductions; meals on travel may be subject to the 50% limit.
